Workforce Planning Portal

Overview
Led the platform redesign for the Workforce Planning Portal (WPP), transitioning from legacy design and branding standards to Walmart’s Living Design 3.5 (LD3.5). This initiative required defining a scalable design strategy that balanced adoption of LD3.5’s React-enabled components, Partner Experience (PX) standards, and custom-built solutions. The goal was to create a consistent, unified experience while establishing a single source of truth for both design and engineering teams. As part of this effort, I contributed to defining the future-state vision through the Redesign Framework Plan (RFP) and led the design of a net-new scheduling dashboard to support complex workforce planning needs.

The Problem
The Workforce Planning Portal relied on legacy design and branding standards that lacked consistency, scalability, and alignment with modern development frameworks like LD3.5. This created fragmentation across the platform, slowed down design and engineering workflows, and made it difficult to maintain a single source of truth. At the same time, workforce planners faced increasing complexity in managing schedules balancing labor demand, associate availability, and frequent last-minute changes. Existing tools did not provide sufficient visibility or flexibility, making it difficult to adjust schedules efficiently under real-world constraints.

The Approach
I approached this initiative by balancing system alignment with real-world workflow needs. The primary focus was transitioning the platform to LD3.5 while ensuring the experience remained flexible enough to support complex scheduling use cases. I defined a strategy that leveraged LD3.5’s React-enabled components and Partner Experience (PX) standards as the foundation, while identifying where custom components were necessary to support unique workflows like scheduling. This helped establish consistency without limiting functionality. To ensure scalability, I worked toward creating a single source of truth that aligned design and engineering reducing fragmentation and enabling more efficient collaboration moving forward. Throughout the process, I collaborated closely with product and engineering to prioritize high-impact areas, particularly the scheduling dashboard, and iterated within tight constraints to deliver a cohesive and implementable solution.
Discovery
Discovery focused on understanding both user and system-level challenges. I partnered with product and stakeholders to uncover key pain points in workforce planning, particularly around scheduling under tight constraints. Planners needed to meet labor demand targets while managing fluctuating availability and last-minute changes, but the existing experience lacked the visibility and flexibility required to do this effectively. In parallel, I conducted an audit of the current platform, identifying inconsistencies in design patterns and misalignment with LD3.5 standards, which created friction for both users and engineers. These insights informed a dual focus: modernizing the system foundation while redesigning critical workflows to better support real-world decision-making.
Design Process
The design process focused on aligning the platform to LD3.5 while supporting complex, data-driven workflows like scheduling. I leveraged existing system components where possible, extending them to accommodate high-density information and real-time decision-making needs.
Given the complexity of workforce planning, I prioritized clarity and efficiency structuring the experience to surface the most relevant information at the right time. This included designing modular layouts, scalable components, and clear interaction patterns that could support evolving use cases.
I also worked closely with product and engineering to integrate Sidekick, Walmart’s AI assistant, directly into the workflow. Rather than treating AI as a separate feature, I focused on embedding it contextually ensuring it supported decision-making without disrupting the user’s flow.
This iterative approach allowed us to balance system consistency, technical feasibility, and user needs while delivering a cohesive and scalable experience.
Core Features
The redesigned experience introduced several key features to support faster and more informed decision-making: • Intelligent Scheduling Dashboard A centralized view that surfaces labor demand, associate availability, and scheduling gaps enabling planners to quickly assess and adjust schedules. • Real-Time Adjustments Tools that allow users to dynamically update schedules, respond to last-minute changes, and maintain alignment with demand targets. • Sidekick AI Integration Embedded AI support that highlights potential issues, surfaces insights, and guides users toward actionable decisions helping store leads respond more quickly and confidently. • System-Driven Consistency Leveraged LD3.5 and PX standards to ensure a cohesive experience while supporting scalability across the platform.

Scheduler
Designed an intelligent scheduling system that transforms complex workforce planning into a real-time, decision-driven experience enabling store leads to quickly balance labor demand, resolve conflicts, and adapt to constant change with confidence.

Managing Workforce at a Glance
The workforce panel transforms how store leads manage their teams by turning complex scheduling data into clear, actionable insights. It surfaces critical information such as availability, assigned hours, and open shifts within a single, unified view, reducing the need to cross-reference multiple systems or rely on manual tracking. By making workforce data immediately visible and actionable, store leads can quickly identify gaps, rebalance workloads, and respond to unexpected changes with greater speed and confidence.

The Result
This project highlighted the importance of not only designing scalable systems, but also supporting users through meaningful change. While the redesign successfully modernized the platform and improved decision-making, adoption became a key focus as users transitioned from legacy workflows. Feedback has been largely positive, especially around clarity, consistency, and real-time visibility. At the same time, it revealed a need for stronger onboarding and education to help users confidently navigate the new experience. As a next step, I would prioritize in-product guidance such as contextual tutorials, onboarding flows, and system prompts to support a smoother transition. Looking ahead, there is also an opportunity to deepen the integration of Sidekick AI, enabling more proactive recommendations and further reducing the cognitive load required for complex scheduling decisions.

Reflection & Next steps
